Paperless.  Digital Scuba Operations 

No one enjoys the daunting look of tall stacks of paper waiting to be filed; nor losing the onreceipt that could send you diving into archives. Resigning oneself to this daily grind just doesn't cut it, especially in a workplace that believes in healing the environment. At diveOceanus, plans and systems have been running since the reopening of Royal Island Resort & Spa this November our aim is to reduce the use of paper up to 95% and to stay digital.

WHY GO PAPERLESS?

With new technologies right at our fingertips, it is now easier than ever to digitize the workplace. The biggest drivers for this change are the pressures placed on employees to perform efficiently while also delivering high customer satisfaction. Alleviation of the clutter and disorganization that comes with paper files will pave the way for a smoother workflow with faster access to information with digital files. Digitization guarantees the security of sensitive files with document management software which regulates the permission to access these files and monitor its use.

One of our biggest drives to take this step forward is to make a contribution to the environment, We might not be making a significant impact with our actions, however, if other dive centers or businesses followed that's a good start.
Royal Island is located in one of the most fragile and vulnerable ecosystems in the world The UNESCO 
Baa Atoll Biosphere Reserve The main habitat types found in the reserve are coral reefs, islands, seagrass beds, and mangroves. Coral reefs are the most important habitat type in terms of area as well as biodiversity. Maldivian coral reefs are home to the richest diversity in the region and are the seventh-largest in the world, accounting for 5% of the world’s reef area.



Going paperless also improves process efficiency which in turn saves money- no more buying paper, printers, and ink! Besides the obvious reason of saving storage space, this initiative also promotes the environment by reducing the amount of paper waste that ends up in landfills. This will ultimately reduce our carbon footprint and the use of volatile compounds in printer ink and toners.


                                                        THE TRANSFORMATION

Visham from the diveOceanus team at Royal Island Resort came up with this initiative in an effort to reduce their carbon footprint. All our dive center had been consuming a lot of paper in the guise of guest registration, 

We had crossed over to the digital age teaching online with Padi touch courses a few years back having said that there was paper been used at our back office this ranged from Nitrox entries sheets daily rosters dive schedule lists the lists it goes on and on. The team successfully converted physical forms into their digital counterpart and eliminated the need for printing with the use of digital signatures. Electronic forms will prove to be a more productive way of guest information management as employees will be able to increase their efficiency up to 30% with less time spent on registration and filing.

Although the digital transformation process can prove to be difficult in aspects such as retraining staff to adapt to new ways of work and the initial cost of setting up digital filing systems, it is a small price to pay for a cleaner and greener future. The project took a year’s worth of planning and was a success with the help of the resort management and diveOceanus team. However, the satisfaction of helping the environment by changing to better, more sustainable ways of living outweighs the obstacles faced during the course of the project.

THE IMPACT

The dive center of diveOceanus at Royal Island Resort is the first dive center to achieve this digital transition and reduced its carbon footprint. This move will hopefully inspire the island to take away the value of this project and partake in this journey of going entirely paperless. 

Guests are now able to check-in to diveOceanus for diving activities and submit registration forms online before their arrival by accessing the forms via the links provided. This enables the guests to optimize their experience and enjoy without going through the hassle of filling out multiple physical forms.



Switching to more energy-efficient alternatives will aid in reducing the carbon footprint of the dive centre and encourage people to be more environmentally conscious. The end goal of this initiative is to reduce the use of paper up to 95% and inspire others to follow in the team's footsteps and take into account their impact on the environment. If everyone took a conscious effort in healing our planet, the beauty which lies in our environment will be there to enjoy for decades to come.
